Plan capacity and RSVP limit calculator

See how many RSVP responses your guest list needs, which plan covers them, and how much headroom is left.

InviteVia plans differ in one number that matters before you send anything: how many RSVP responses one invitation can collect. This calculator turns your guest list into the number of responses it will need, then compares that with every plan's real limit.

It also separates guests from responses. One reply can cover a household or a plus-one, so a 60-guest list does not always need 60 responses. The result shows both the headcount and the replies required, so the plan comparison is honest rather than a scare tactic.

Your guest list

Attending guests, not invitations sent.

Each event is its own invitation with its own response limit.

One reply covers everyone in that household, so fewer responses are needed.

The response limit is per invitation, not per account. If the free plan fits, use it — nothing here is a reason to pay for more than you need. Every limit is read from the same configuration the product enforces.

How to use it

  1. 1Enter the number of guests you expect to attend each event, not the number of invitations you are sending.
  2. 2Set how many separate events you are planning. Each event is its own invitation with its own response limit.
  3. 3Turn on household replies if guests will reply once for a couple, a family or a plus-one, then set the average number of people covered by one reply.
  4. 4Read the plan rows: each one shows the response limit, whether your guest list fits, and the headroom or shortfall.
  5. 5If the free plan fits, it is clearly marked — there is no reason to upgrade for numbers that already fit.

How the maths works

Responses needed per event = expected guests when every guest replies individually, or expected guests divided by the average people per reply when replies arrive per household. The result is rounded up, because half a reply is not a thing.

The plan limits come from the same entitlement module the API uses. The Free plan allows 25 responses per invitation; Premium removes the response limit. The limit is per event: planning three events does not pool three limits into one invitation, and it does not multiply a single invitation's limit either.

The archive window is also read from the product: the invitation page and its RSVP data stay available for 30 days after the event on Free and 90 days on Premium. RSVPs close once the event date has passed, so the list stops moving while you finalise numbers.

  • Individual replies: responses needed = expected guests
  • Household replies: responses needed = expected guests ÷ average people per reply (rounded up)
  • Free plan: 25 responses per event
  • Premium: no response limit, 90-day archive

A worked example

An 80-guest wedding, one event, with every guest replying individually:

Expected guests
80
Responses needed per event
80
Free plan response limit
25
Free plan shortfall
55 responses
Premium response limit
Unlimited
Smallest plan that fits
Premium
Free archive window
30 days after the event
Premium archive window
90 days after the event

Change the same list to household replies with two people per reply and it needs 40 responses — still above the Free limit, but with 15 fewer replies to collect. A 40-guest list replying in pairs needs 20 responses and fits the Free plan.

Frequently asked questions

Does every guest need their own RSVP response?

No. A response can cover a household or include plus-ones, which is why the calculator asks how guests will reply. If one person replies for a couple, a 60-guest list needs 30 responses rather than 60.

Is the response limit per event or per account?

Per event. Every invitation has its own response limit, so planning several events means several invitations rather than one shared pool. The calculator multiplies the responses you will collect, not a single invitation's limit.

Is the free plan enough for my event?

If the responses needed are 25 or fewer, yes — the result says so plainly. Larger lists, or lists where most guests reply individually, need the unlimited response limit on Premium.

What happens to the invitation and RSVP data after the event?

RSVPs close once the event date has passed. The invitation page and its RSVP data remain available for 30 days after the event on the Free plan and 90 days on Premium, which is the archive window shown in the plan rows.

Does this calculator store my guest numbers?

No. The calculation runs in your browser and nothing is uploaded or saved. Reload the page and the numbers are gone.

Ready to send the invitation itself?

InviteVia turns your plan into a digital invitation with RSVP collection, guest messaging and a link you can share or print as a QR code.
